LAVIDGE is searching for a temporary receptionist/assistant office manager with excellent customer service skills for both internal and external clients. The 90-day position is from Jan. 15 to May 15. We’re looking for an energetic professional who enjoys wearing multiple hats. Our busy, client-focused office of 85 employees needs a reliable, well-organized person to handle day-to-day operations with a helpful attitude, efficiency and successful time management. This person must be flexible and motivated to work independently and as part of a team.


  • Answers main phone lines to the office and directs calls appropriately
  • Welcomes clients, vendors and visitors to the office and notifies the appropriate parties of their arrival
  • Schedules and maintains conference rooms for both internal and client meetings
  • Records incoming deliveries and arranges deliveries for employees
  • Arranges catering orders for meetings
  • Assists with miscellaneous projects (e.g. mailings, labels, etc.)
  • Orders and stocks office supplies and breakroom supplies
  • Prepares check requests for general office invoices
  • Arranges for courier services
  • Other office management and clerical duties as assigned



  • Previous customer service experience
  • Ability to handle a large volume of calls quickly and professionally
  • Excellent communications skills
  • Professional demeanor and appearance
  • Self-motivated, dependable and who has worked in a team environment
  • Proven behavior that is pleasant, friendly and customer oriented at all times
  • Knowledge of MS Word, MS Excel PPT and email
  • Must be detail-oriented and possess an ability to multi-task and prioritize
  • Ability to repeat the same routine on a consistent basis
  • Strong attention to detail
  • Ability to handle difficult situations professionally and tactfully
  • Flexible for overtime, if needed
  • Must be able to work 40 hours per week (Monday through Friday from 8:30 am to 5:30 pm with an hour lunch break)
  • High School degree, or equivalent and a minimum 4-5 years reception/office management experience, customer service experience.
